FanaCare

FANACARE PRIVACY POLICY

Effective date: [DATE OF LAUNCH]. Last updated: October 2026.

FanaCare is an app for parents and caregivers of children with special needs. FanaCare LLC, a Minnesota limited liability company (“we,” “us”), publishes it. Washington and Nevada have consumer health data laws that call for a separate health data policy. If you live in either state, also read our Consumer Health Data Privacy Policy, linked beside this one in the app, on our app-store page and on our website.

1. TL;DR – Policy In Brief

Your care records stay on your phone unless you share, export or back them up. Your child’s profile, appointments, medication logs, label photos, school documents, recordings and transcripts are stored on your device, and we can’t read the care records you keep in the app. The AI runs on your phone: FanaCare’s AI features use the AI built into your phone, and we don’t send your content to an AI company.

We keep only what it takes to run your account: your sign-in details, a device identifier, your settings, technical logs, purchase confirmations, and a short security record. We don’t sell your information or use it for advertising. You’re in control. You can export, delete, and withdraw consent from inside the app, and you can email us at any time.

2. Who Is FanaCare Meant To Serve?

FanaCare is for adults: parents, legal guardians, and the adult caregivers and nurses a parent invites. It isn’t meant for children, and children shouldn’t create accounts. The section below on children explains more.

3. What Information Stays On Your Phone?

FanaCare stores the following on your device, encrypted: child profiles (up to five children per account); appointments and reminders; medication logs, including what was given, when and by whom; IEPs and other school documents, with their goals, objectives and progress; documents you add to the Vault; meeting transcripts; notes you write; and the record of the consents you give or withdraw, with an activity log of who changed them and when.

We can’t read this information. It isn’t stored on our servers. If you choose to send us something in a support message, we receive what you send.

FanaCare’s AI features read labels, organize documents, summarize, and transcribe recordings. They use the AI built into your phone: Apple Intelligence on iPhone, and Google’s on-device AI on Android. FanaCare doesn’t send your content to a remote AI service. Some features need a phone that supports them.

Medication label photos are read on your phone. FanaCare deletes its temporary copy once the label is read or when you close the screen. This doesn’t delete an original in your photo library. When you record a meeting, FanaCare transcribes it on your phone, keeps the transcript in your Vault, and deletes its audio copy when transcription ends. You can delete the transcript at any time.

If your phone backs up to iCloud or Google, your backup can include FanaCare’s records, under your Apple or Google settings.

When a caregiver or nurse you invite logs a dose or adds a note, their phone encrypts the entry before it leaves. The entry passes through our relay, which only delivers it to your phone. We can’t read it on the way. Only your phone can unlock it.

4. What Information Do We Receive And Keep?

To run your account, we receive and store your account details: your name, email address, and sign-in credentials. We store passwords as hashes, not in readable form. We also keep a device identifier, so your account works on your phone, and your account settings, including the retention choices you make.

We receive technical logs and crash reports to keep the app working. These contain technical data only, such as app version, device model and error details, and never the content that stays on your phone. We keep security records of sign-ins and of deletion requests, so we can protect your account and show we honored your request. We keep the messages you send us, such as support emails.

If you subscribe, Apple or Google handles payment. We receive a confirmation of your subscription, not your card details.

The “Share to help improve the app” setting is off unless you turn it on. When it’s on, it shares technical information about app performance with Apple or Google under their terms, not with us. Your choice is recorded on your phone.

5. How Do We Use The Information?

We use the information we receive to create and secure your account and sign you in; keep the app working and fix problems; answer your messages; check your subscription; keep a record of the deletion requests you make; and meet legal requirements. We don’t sell your information, use it for advertising, or use it to train AI.

6. Who Do We Share Information With?

We share the information we receive only with service providers who host our servers, send email, or collect crash reports for us, under contracts that limit their use to our instructions; with Apple and Google, to the extent they deliver the app and handle purchases; when the law requires it, such as a valid court order; and in a sale or reorganization of the business, where the buyer keeps the commitments in this policy.

You decide who sees what. When you invite a caregiver or nurse, you choose what they can do: see schedules, see medications, log doses, or add medication notes. You can stop a helper’s access at any time. Inside FanaCare, helpers can’t open your Vault, see your exports, or make recordings.

When you export a medication log or other record, you choose where it goes. What the recipient does with it is governed by their own practices.

Before you record a meeting, FanaCare asks you to confirm that you have consent to record. Recording laws differ by state, and some states require the consent of everyone in the conversation. You’re responsible for having the consent the law requires.

8. How Long Do We Keep Your Information?

Saved records on your phone stay until you delete them. Temporary photos and audio are deleted as described above. On our servers, we keep account details and settings while your account is open. We keep logs, support messages and purchase records only as long as needed to run and protect the app, answer your messages and meet legal requirements.

“Delete all data” deletes the app’s records on your phone and your account details on our servers. We keep the security records described above for 12 months after deletion, only to protect against fraud and to show that we honored your request. These records hold an account reference, a device identifier, and dates, and none of the content that stays on your phone.

Deleting in the app doesn’t delete exports you sent, copies helpers already have, or your phone’s iCloud or Google backups. Those follow your own settings.

9. How Do We Protect Your Information?

FanaCare encrypts the information on your phone and stores passwords as hashes. No system is perfectly secure. Protect your phone with a passcode and keep your sign-in private.

10. What Are Your Choices And Privacy Rights?

From inside the app, you can see and correct your information; export your records, including your consent history; stop recording and delete records, child by child; and delete your account and data, subject to the limits described above.

You can also email us to ask what information we hold about you, to correct or delete it, to get a portable copy, or to withdraw a consent. A parent or legal guardian can make a request for their child. We may need to check your identity and authority before acting on a request. Depending on where you live, state law may give you more rights, including the right to appeal our answer. We answer requests within the time your state’s law sets, and we won’t treat you differently for using your rights. To appeal, reply to our answer with “appeal” in the subject line.

For requests covered by Connecticut law, we respond within 45 days and may take another 45 days when needed, telling you during the first 45 days. We answer appeals within 60 days, explain our decision, and tell you how to contact the Connecticut Attorney General if we deny your appeal. You can withdraw consent as easily as you gave it, and we stop the processing covered by that consent as soon as practicable and within 15 days.

11. Do We Track You Across Other Sites?

We don’t track your activity across other companies’ apps or websites, and we don’t let anyone else collect information about your activity across other apps or websites through FanaCare.

Some browsers and devices let you send a “Do Not Track” signal. Because we don’t track your activity across other apps or websites, there is nothing for the signal to turn off, and FanaCare works the same whether or not you send one.

12. Can Children Use FanaCare On Their Own?

FanaCare is for adults and isn’t directed to children under 13. Children shouldn’t create accounts or use the app themselves. If we learn that a child created an account, we’ll delete it. If you believe a child has an account, email us.

13. How Will We Tell You About Changes?

We’ll post any change here and update the date above. If a change affects how we handle your information, we’ll tell you in the app before it takes effect. If we ever want to collect or use health information in a new way, we’ll ask for your consent first.

14. How Can You Contact Us About Privacy?
